Role-based permissions
Access in PromeCynEd is tied to a person's role, and each role has its own separate portal. A teacher works with their own classes, a coordinator manages enrolment and academic setup, a student or parent sees only that child's own record, and a school admin oversees accounts, backups and audit history.
Sensitive functions such as user accounts, backups and audit logs sit in the school admin portal only — deliberately kept apart from everyday academic work, so fewer people hold powerful access.

Sensitive actions in the system are recorded automatically, so there is always a trail of who changed what and when. Each entry keeps both the old and the new value, so you can see exactly what a change altered — not just that something happened.
Your school admin can search this history and export it as a PDF. For a school, this turns "we think that was changed" into a clear, checkable record — useful for accountability and for settling questions before they become disputes.

PromeCynEd is served over an encrypted connection (HTTPS/SSL). Information travelling between a user's device and the system is protected in transit, so it can't be read by anyone in between.
This is the same standard of connection security people rely on for online banking.

Your school's data is backed up automatically every night, and each backup is kept for 90 days. Nobody at the school needs to remember to run anything.
If the worst happens, your school admin can restore the school's data from any of those backups — and the system takes a fresh snapshot first, so a restore itself can be undone. Backups can also be downloaded, so your school can keep its own copy.

Passwords are never stored as readable text. They are scrambled using the current industry-standard method, which means that even someone with direct access to the database cannot read a user's password.
Password resets work the same way, and staff can be required to set a new password on first sign-in.

PromeCynEd runs on a secure cloud server, which means your school doesn't need to buy, run or maintain its own hardware. The system is reached through a web browser or the mobile app, wherever staff are working.
